Bilingual Executive Assistant
Our client is a network of clinics in Los Angeles and the Inland Empire providing medical, dental, mental health, and substance use services is looking for a Contract Bilingual Executive Assistant offering $24.55 per hour to support the Director of the Dental Department.
Schedule will be Monday through Friday 8:30am-5:00pm but may require evenings (11:00am-7:30pm) and Saturdays as needed. Key Responsibilities:
The Bilingual Administrative Assistant will provide support to the Dental Director Office’s day to day operations including scheduling appointments, screening callers, preparing materials for executive meetings, taking dictation, and maintaining executive files. Required Qualifications
2+ Years Experience supporting executives
Coordinates calendars and schedules appointments and meetings, prioritizing requests and making necessary arrangements.
Answers phones, responds to inquiries, and triages calls to appropriate personnel.
Responsible for travel and conference arrangements, including itinerary organization and reservations.
Manages procurement activities, including ordering supplies, equipment, and services as needed.
Handles disbursement and reimbursement activities, maintaining inventory and ordering supplies as authorized.
Ensures facilities and equipment are in optimal working condition, coordinating maintenance and repairs as needed.
Prepares written correspondence and records meeting minutes.
Accurately completes timecards and attendance records (includes recording vacation, holidays, sick leave, etc.) on electronic timekeeping software.
Prepares dental staff schedules and other reports as needed.
Proficiency in Microsoft Office Suite (Microsoft Word, Excel, and PowerPoint).
Receives all Dental Referral calls and assigns them to Dental Coordinators.
Assist in scheduling patient’s dental appointment as necessary.

Able to multitask and shift priorities as needed.
Must be fluent in Spanish and able to communicate both verbally and in writing.
Excellent written and oral communication skills.
Exceptional attention to detail and accuracy.
Ability to communicate with a wide array of stakeholders.
Excellent organizational skills and ability to manage multiple projects.
